Scott Ingram: You’re listening to the Daily Sales Tips podcast and I’m your host, Scott Ingram. Today’s tip comes from Nick Cegelski. Nick is an Enterprise Account Executive at SurePoint in LA and co-host of the podcast: 30 Minutes to President’s Club. Here he is with today’s tip:
Nick Cegelski: Email can be one of the biggest distractions that prevent you from making an impact as a sales professional. I use the 4 D’s to help handle my email, triage it, and move on with my day. Those four D’s are Delete, Delegate, Defer and Do.
Delete is pretty easy. Maybe you give the email a quick skim, internalize the information if necessary, and then get rid of the email. Don’t let it sit in your inbox. If it’s something that you don’t want to receive in the future, use the unsubscribed button. So that in the future, you’re not wasting mental energy looking at the email for half a second, assessing if you need it, and deleting it. That mental energy is precious.
Delegate. These are things that you need to do, but maybe you don’t need to do them. Those are things that you can forward off to other people in your organization or on your team, but it’s important to remember anything delegated must be verified. Flag that email so that you follow up with it in an appropriate timeframe so that the work you’re delegating actually gets done.
Defer. This is where most people trip up. You’ll get an email of something that you need to do. And in efforts to get to inbox zero, you do that thing right then. The problem is we get things put in our inbox that are not as important as some of the other things on our priority list, but we do them before of those more important things. That’s backward. Defer those things. Set them as a task or calendar appointment for yourself in the future, so you can take care of them.
And Do this is simple. If it can be done in less than two minutes, do it right there, right then. The 4 D’s are one of the most effective ways to manage and triage your email. Enjoy!
